Auto-Build a Table of Contents

A hand-typed table of contents rots the moment you edit page three. Word can build and update the TOC for you — but only if your headings use real heading styles instead of manual bold. This guide builds an auto-updating TOC in minutes and keeps it correct forever.

TL;DR / Quick Fix

Quick fix: format all headings with Heading 1, Heading 2 styles, place the cursor where the TOC goes, then References, Table of Contents, Automatic Table. Right-click the TOC and choose Update Field to refresh page numbers after edits. Never type a TOC by hand again.

Follow these steps

  1. Convert all headings to real styles first. Every chapter title must be Heading 1, every section Heading 2. The TOC reads styles, not bold text — manual formatting is invisible to it.
  2. Place the cursor where the TOC belongs. Usually a blank page after the title page. The TOC inserts as a field at the cursor position.
  3. Insert an automatic table of contents. Go to References, Table of Contents, and pick an Automatic Table. Word scans the document and builds the full TOC with page numbers instantly.
  4. Update it after every edit. Right-click the TOC and choose Update Field, then Update Entire Table. Page numbers and new headings refresh in one click.
  5. Customize which levels appear. Through the TOC dialog you can show just Heading 1 and 2, or drill down to Heading 3. Match the depth to the document's complexity.
  6. Style the TOC itself. The TOC has its own styles (TOC 1, TOC 2). Modify those to change fonts and spacing without touching your headings — the content stays linked.

What NOT to do

  • Do not type page numbers by hand into a TOC. One edit invalidates them all — that is exactly the job the automatic TOC exists to do.
  • Do not mix manual bold headings with styled ones. The unstyled ones silently vanish from the TOC.
  • Do not forget to update before sending. A stale TOC with wrong page numbers looks worse than no TOC.
  • Do not delete the TOC field to 'fix' it. Right-click, Update Field — deleting and retyping restarts the rot cycle.

Frequently asked questions

Why is my TOC empty?

Your headings are manually formatted, not styled. Apply Heading 1 and 2, then update the field.

Can the TOC include figure captions?

Yes — insert a separate Table of Figures from the References tab, built from caption styles.

How do I remove the TOC?

Select the whole TOC field and delete it. Your headings stay untouched — only the generated list goes away.
