Alphabetize a List? How To

You have a list of names, terms, or sources that should run A to Z, and doing it by hand means dragging lines around and still missing one. Google Docs has no built-in sort button — but there is a reliable workaround that takes under a minute and does not scramble anything.

TL;DR / Quick Fix

Quick fix: Google Docs has no sort button, so copy the list into a spreadsheet, sort A to Z there, and paste it back. For a one-off sort, free add-ons can sort selected text in place. Always name a version first, so a bad sort is one click to undo.

Follow these steps

  1. Save a version first. Go to File > Version history > Name current version and call it 'before sort.' Sorting is hard to undo by hand — see naming versions.
  2. Copy the list out. Select the list and copy it. You will sort it outside Docs, where a real sort command exists.
  3. Paste into a spreadsheet. Paste into a blank Google Sheet — one item per row. If items land in one cell, use Data > Split text to columns first.
  4. Sort A to Z. Select the column and use Data > Sort range > Sort A to Z. Check the top and bottom for strays the sort pushed oddly.
  5. Paste back over the original. Copy the sorted column, return to Docs, select the old list, and paste. Use 'Paste without formatting' (Ctrl+Shift+V) to keep your document's style.
  6. Verify the order. Read the first and last items and spot-check the middle. Then name a version again — 'sorted A-Z' — so the history stays meaningful.

What NOT to do

  • Do not sort by dragging lines manually. You will miss one, duplicate another, and never be sure.
  • Do not sort without a named version first. One wrong paste can scramble a long list beyond easy repair.
  • Do not sort a numbered list's numbers along with it. Sort the text, then reapply numbering — otherwise the numbers travel with the wrong items.
  • Do not trust a sort add-on blindly. Add-on quality varies; check the result before closing the document.

Frequently asked questions

Can Google Docs sort a list alphabetically?

Not natively — there is no sort button. The reliable route is copy to a spreadsheet, sort there, and paste back; sort add-ons can also do it in place.

Will sorting mess up my formatting?

It can, if you paste with formatting. Paste back with Ctrl+Shift+V (Cmd+Shift+V on Mac) to keep the document's existing style.

How do I sort Z to A instead?

Same process — in the spreadsheet choose Sort Z to A. The Docs side of the workaround is identical.
