Custom Sort Orders

Excel sorts Monday after Friday because alphabetical order is not calendar order. Custom sort orders teach Excel your real sequences — months, weekdays, priorities, regions — so data sorts the way humans expect. One custom list fixes every future sort.

TL;DR / Quick Fix

Quick fix: select your data, open Sort, and choose Custom List under Order. Pick or create the sequence — months, weekdays, High/Medium/Low — and Excel sorts by it instead of alphabetically. Save lists you reuse; they persist across workbooks. Custom orders beat helper columns for readability.

Follow these steps

  1. Select the data to sort. Click any cell in the column, then Data, Sort. Excel guesses the range — verify it caught the headers correctly.
  2. Open the Order dropdown. In the Sort dialog, find the Order dropdown for your column. It defaults to A to Z — click it.
  3. Choose Custom List. Select Custom List from the dropdown. Excel shows built-in sequences: months, weekdays, and more.
  4. Create your own sequence. Need High, Medium, Low? Type the order in the Custom Lists dialog. Your sequence now sorts correctly everywhere — see sort and filter basics for the fundamentals.
  5. Apply and verify. Click OK and check the result. Months run January to December; priorities run High to Low — human order at last.
  6. Reuse across workbooks. Custom lists save to Excel itself, not the file. Every future workbook inherits your sequences.

What NOT to do

  • Do not sort without selecting headers properly. A missed header row sorts your titles into the data — check My data has headers.
  • Do not use helper columns for months. Custom lists are cleaner and survive when someone else inherits the sheet.
  • Do not forget custom lists are per-computer. A colleague opening your file sees the sorted result but not your list.
  • Do not sort only part of a table. Sorting one column without expanding the selection scrambles rows — expand or use a Table.

Frequently asked questions

Can I sort by color with custom orders?

Separately — color sorting is its own sort level. Combine a custom order level with a color level for both.

Why is Monday still after Friday?

You sorted A to Z. Apply the weekday custom list instead — alphabetical order is the default trap.

Do custom lists work in Google Sheets?

Sheets has its own approach with helper columns or custom formulas — Excel lists do not transfer.
