Speaker Notes Show Blank on Your Screen

You wrote speaker notes under every slide, but when you present, the notes area is blank. The notes are almost always still there; the screen showing your view is simply not the one with presenter view, or the displays are set to mirror.

TL;DR / Quick Fix

Quick fix: confirm the notes are actually typed under the slides, then start the slideshow with presenter view turned on and the displays set to extend. If the notes pane is blank, switch which screen shows presenter view and check the display settings.

Follow these steps

  1. Confirm the notes exist first. Open the slide in editing view and look at the notes pane below it. If the notes were never typed there, presenter view has nothing to show, and no setting can fix that.
  2. Start the slideshow with presenter view on. In the slideshow settings, make sure presenter view is enabled. Without it, the presenting screen shows the same slide the audience sees, notes pane included or not.
  3. Set the displays to extend, not mirror. Open the display settings and choose Extend rather than Duplicate. Mirrored displays show identical images on both screens, so the notes never get their own private screen.
  4. Swap which screen shows presenter view. In presenter view settings, switch the presenter display to the other screen. The notes often appear on the projector while the laptop shows the plain slide, which is backwards.
  5. Check the projector input after switching. If you swapped displays, confirm the projector still shows the audience slide. A quick glance at the big screen avoids presenting your notes to the room.
  6. Rehearse the full setup once. Run through two or three slides with the real projector or second monitor connected. One rehearsal catches a blank notes pane before the audience is watching.

What NOT to do

  • Do not assume your notes were deleted when the pane is blank. Check the editing view first, since the notes usually survive and only the display choice is wrong.
  • Do not present with mirrored displays and hope for notes. Mirroring by design shows the same image everywhere, so presenter view needs extended displays.
  • Do not fix it by reading from printed notes you left at home. Fix the display setting once, and the notes travel with the file from then on.
  • Do not skip the rehearsal because it worked on your laptop. The venue projector is the variable, and a two-minute test there is cheaper than a silent stage.

Frequently asked questions

Why are my speaker notes blank when I present?

Because the notes exist but the presenting screen is not running presenter view, or the displays are mirrored instead of extended.

How do I know which screen gets the notes?

The screen you mark as the presenter display shows notes and controls, while the other screen shows only the slide for the audience.

Do I need two screens for speaker notes?

For private notes during the talk, yes. One screen can still present, but everyone will see whatever is on it.
